Executive Team – Calgary Newcomers Club
President
- Presides over General meetings and Board meetings
- Prepares agendas, in consultation with the Secretary, for the General Meetings and Board Meetings
- Reviews the Club’s By-laws, Operating Procedures and Code of Conduct annually, in conjunction with the Board of Directors
- Is an ex-officio member of all committees
- Chairs the Nominating Committee
- Shares responsibility, with the rest of the Board of Directors, to submit a monthly introduction for the Club Newsletter
- Acts as the liaison for the National Newcomers Council of Canada
- Represents the Club at all outside functions and media events
- Proofreads the Newsletter prior to distribution, or designates another Board member
- Maintains a secure list of CNC passwords
- Maintains an organizational file to be passed onto future Presidents
- Ensures historical material is archived at the Glenbow Museum
- One of four possible signing officers
- Maintains Monthly, Yearly Website related documents in Clubs Google Drive, including manuals, service providers, reports,etc.
Director of Web Operations
Oversee the website’s functionality, security, and compliance with organizational goals.
- Manage hosting, domain renewals, and technical troubleshooting, keeping the Treasurer informed of expenses.
- Serve as the primary contact for website-related issues and collaborate with assistants as needed.
- Assist members with account access and troubleshoot profile-related issues.
- Activate website access for new members after confirming membership payment and notify the Board of new members.
- Review and determine applicant eligibility with the President and Membership Director, referring concerns to the Board when necessary.
- Update website content and implement changes as directed by the Board.
Secretary
- Prepares, in consultation with the President, agendas for General Meetings and Board Meetings and distributes accordingly.
- Records and distributes the Board meeting minutes to the Board
- Prepares, distributes, and updates the Board Contact List for the Board and Director of Communications
- Carries out all Board correspondence.
- Confirms Board reporting of any club By-law changes to Service Alberta by the Treasurer
- Maintains a secure list of Club passwords
- One of four possible signing officers
Director Of Events
- Works with event assistants to plan the General Meetings, including Fall Kick-off, Christmas Luncheon and AGM and other events, as necessary:
- Prepares a budget for each event with anticipated costs and expenditures
- Finds a venue suitable for each event and its projected attendance
- Organizes the catering, as required
- Organizes the activity or speaker, as required
- Provides details of upcoming events to the Newsletter Editor and Webmaster, plus invitation and regular advertising to membership, as needed
- Organizes decorating applicable to event
- Coordinates reservations and confirms numbers attending
- Coordinates door prizes for events, as required
- Provides the Board with regular updates on attendance and anticipated costs
- Following an event, submits final numbers and expenditures to President and Treasurer
- Prepares the Club’s annual event calendar
- Works within the Board approved budget for each event
- May assume the President’s role/duties in her absence

- Uses Club-assigned email for club related correspondence. .

Director Of Interest Groups
- Provides all Convenors with the Convenor Job Descriptions and Non-Member Participation Waivers form.
- Ensures all Interest Groups operate in compliance with the Club by-laws
- Presents any disputes or problems within the Interest Groups, keeping the Board aware of problems and their outcomes
- Encourages and assists, where necessary, the development of new and relevant Interest Groups
- Assists with organizing the Fall Kick-off Event
- Arranges meet & greet with Interest Group Convenors prior to event
- Prepares and prints registration sheets for all Interest Group sign-ups
- Sends sign-up sheets to individual Convenors after Kick-Off Event
- Maintains Monthly, Yearly Website related documents in Clubs Google Drive, including manuals, service providers, reports,etc.
- Uses Club-assigned email for club related correspondence.
- Voting member of the Board of Directors
Director of Communication
Reports to: President
The Director of Communications coordinates all communication and publicity activities on behalf of the President and the Board of Directors.
Responsibilities:
Newsletter Editor
- Compile, produce, and distribute the Newsletter using MailPoet on the website.
- Ensure the Newsletter is proofread by the Interest Group Director or their designate prior to distribution.
- Include a list of members’ birthdays for the upcoming month in the Newsletter.
- Maintain an up-to-date member list with emails to facilitate club correspondence.
- Create content for marketing purposes, as needed.
- Organize and manage social media content, including Facebook and Instagram, ensuring alignment with organizational goals.
- Act as photographer at CNC events or assign another member to take photographs.
- Forward photos for uploading to social media platforms to: Assistant Webmaster: Updates and Content Management
- Maintain communication-related documents in the club’s Google Drive, including newsletters, reports, and relevant files.
Voting member of the Board.
Membership Director
- Receives automatic confirmation of new members who applied online through our website and determines the eligibility of each applicant, referring questions to the Board
- Assuming eligibility, a “welcome letter”, written by the Director of Membership, is automatically sent to the new member
- Tracks new members and sends Hospitality invitations for upcoming Hospitality events
- Provides a temporary name badge for new members and orders new permanent badges upon first renewal of the new member. Permanent badges will be presented at the fall Kick-off Event. Takes orders for replacement badges at least once per year, ideally to be processed at the same time as the badges for the Fall Kick–off Event are being made.
